Role Overview

The Corporate Services Executive will support the administration of corporate governance, regulatory reporting and client due diligence matters. The successful candidate will prepare meeting documentation, maintain accurate statutory records, coordinate filings with the relevant authorities and communicate professionally with clients and external bodies.

Key Responsibilities

Meeting Records: Prepare clear, accurate and comprehensive minutes for board, committee and general meetings.
Meeting Coordination: Organise documentation for formal meetings, including notices, agendas, supporting papers and complete meeting packs.
Corporate Records: Maintain and revise statutory registers and other corporate records, ensuring that information remains complete and current.
Regulatory Filings: Prepare and lodge recurring statutory submissions with the Malta Business Registry and, where relevant, the Malta Financial Services Authority.
Client and Compliance Support: Communicate with clients and regulatory authorities regarding corporate matters while gathering due diligence records and reviewing client files for Know Your Customer compliance.

Qualifications, Skills and Attributes

Education: A relevant academic or professional qualification in law, corporate administration, compliance, business or a related discipline would be considered an advantage.
Experience: Previous exposure to corporate administration, regulatory compliance, company secretarial work or a legal services environment would be beneficial.
Language Skills: Fluency in English, together with outstanding written communication skills, is essential for this position. The ability to communicate in Maltese would be an asset.
Communication Skills: Able to prepare precise professional correspondence and communicate confidently with clients, colleagues and public authorities.
Interpersonal Skills: A courteous and cooperative professional who can establish positive working relationships with internal and external stakeholders.
Technical Skills: Familiarity with corporate governance records, statutory reporting requirements and KYC procedures would be advantageous.
Organisation: Capable of coordinating several assignments, maintaining orderly records and meeting regulatory deadlines with consistent accuracy.
Self-Motivated: Takes ownership of assigned duties and works responsibly with limited supervision.
Problem-Solving: Demonstrates sound judgement when reviewing documentation, identifying missing information and addressing administrative or compliance-related matters.
