Our client is a creative and close-knit team looking for an Office Coordinator who can become a real go-to person in the office.

This is a part-time opportunity, working approximately 8:00AM to 1:00PM, with flexibility around both working hours and days.

It’s a varied role where you’ll keep the day-to-day admin on track, support with basic HR duties, get involved in social media content and generally help things run smoothly behind the scenes.

They’re looking for someone organised and dependable, but also someone with personality who enjoys working with people, getting involved and taking ownership.

What you'll be taking care of:

Managing the day-to-day office administration, including correspondence, documentation, filing, calendars, meetings and general enquiries.
Keeping office supplies, suppliers, maintenance, subscriptions and equipment organised.
Maintaining administrative records, databases and key deadlines.
Supporting the Director and wider team with general coordination, meetings and follow-ups.
Helping with basic HR administration, including employee records, leave, onboarding and offboarding.
Assisting with Jobsplus, Identità and employment-related documentation when required.
Keeping HR systems such as Talexio up to date
Organising basic financial documentation, including invoices, receipts and information required by the external accountant.
Researching tenders, competitions, awards and other relevant opportunities, and helping coordinate submissions.
Supporting the company's social media and website by gathering and coordinating content with the team.
Helping with publications, press releases, project photography and other promotional activities.

What our client is looking for:

At least 2 years of experience within an administrative or office-based role.
Someone who is highly organised and comfortable managing different priorities.
A proactive person who enjoys taking initiative and ownership rather than waiting to be told what needs to be done.
A people person who enjoys working closely with others and being part of a team.
Strong communication skills with fluency in English.
Good attention to detail and a dependable, hands-on approach.
Must already be based in Malta.
