Role Overview

We are looking for an approachable, sharp and highly organised HR Administrator to join a hands-on HR team and support the HR Manager across the full employee lifecycle. This is a junior role with excellent scope to develop broad HR experience, while helping strengthen and professionalise HR policies, processes and day-to-day operations.

You will be a key point of contact for employees, managers and external stakeholders. You will help ensure HR administration is accurate, confidential and compliant, while supporting the HR Manager with the development and implementation of improved HR policies and procedures.

Duties and Responsibilities

HR administration and employee support

  • Provide day-to-day administrative support to the HR Manager across all HR activities.
  • Maintain accurate, confidential and up-to-date employee records, including contracts, personal details, documentation, leave records and changes to employment terms.
  • Prepare HR letters, contracts, amendments, certificates and other employment-related documentation for review and signature.
  • Coordinate document signing, filing and record-keeping, ensuring required documentation is complete and correctly stored.
  • Respond promptly and professionally to routine employee and manager queries, escalating more complex or sensitive matters to the HR Manager.
  • Support the preparation of HR reports, trackers, presentations and ad hoc analysis as requested.

Policies, compliance and process improvement

  • Support the HR Manager in reviewing, drafting, updating and implementing HR policies, procedures and employee-facing guidance.
  • Help identify gaps in current HR documentation and processes, and support the development of clear, practical and compliant policies.
  • Maintain an organised repository of HR policies, templates, forms and employee documentation.
  • Support communication and roll-out of new or updated policies, including tracking acknowledgements and maintaining related records.
  • Assist in ensuring HR practices and documentation align with Maltese employment legislation, company requirements and good practice.
  • Support the HR Manager with compliance-related administration, record-keeping and follow-up actions.

Recruitment and onboarding

  • Support recruitment activity for vacancies, including posting adverts, screening applications, scheduling interviews and coordinating feedback.
  • Communicate with candidates throughout the recruitment process, ensuring a positive and timely candidate experience.
  • Maintain recruitment records, trackers and candidate documentation.
  • Coordinate pre-employment checks, references, right-to-work documentation and other required onboarding requirements.
  • Support onboarding for new employees, including preparation of welcome documentation, induction arrangements, system access requests and coordination with IT, Payroll, Finance and line managers.
  • Support onboarding and documentation requirements for international hires and external consultants, liaising with relevant internal teams and external advisers where required.

Employee lifecycle and HR operations

  • Support probation reviews, contract renewals, changes to terms and conditions, and other employee lifecycle processes.
  • Maintain and update HR trackers, including probation dates, contract end dates, leave balances, training records and other key HR information.
  • Support absence, leave and attendance administration, ensuring records are accurate and follow-ups are actioned.
  • Assist with employee relations administration, including preparing documentation, scheduling meetings and maintaining confidential records.
  • Support the coordination of training, mandatory learning, policy acknowledgements and related record-keeping.
  • Assist with offboarding, including exit documentation, final-day coordination, equipment/access returns and record updates.

Consultants, payroll and finance coordination

  • Maintain records for consultants and external workers, including contracts, work logs, holiday records and supporting documentation.
  • Track consultant hours and work logs, verify submitted timesheets and follow up on missing or inconsistent information.
  • Liaise with Finance and Payroll to support accurate salary payments, consultant invoicing and related reporting.
  • Support reconciliation of HR-related costs, invoices and records where required.

HR projects and continuous improvement

  • Support the HR Manager with HR projects, policy updates, process improvements and company-wide initiatives.
  • Help identify opportunities to simplify HR processes, improve record-keeping and enhance the employee experience.
  • Assist with HR communications, employee engagement activities and internal events as required.
  • Carry out other reasonable HR and administrative duties as requested by the HR Manager.

Person Specifications

  • Previous experience in HR administration, recruitment coordination, office administration or a similar role; a junior candidate with strong potential and the right attitude will also be considered.
  • Excellent organisational skills and attention to detail, with the ability to manage competing priorities and meet deadlines.
  • Strong written and verbal communication skills in English; Maltese is an advantage.
  • Confident using Microsoft Office or Google Workspace, particularly Excel or Google Sheets for trackers, records and basic reporting.
  • Comfortable handling confidential information with discretion, professionalism and sound judgement.
  • A proactive, hands-on approach, with the ability to follow tasks through to completion and ask for guidance when needed.
  • A genuine interest in building a career in HR and a willingness to learn across all areas of the function.
  • Experience supporting international hires, consultants, recruitment processes or HR systems is an advantage but not essential.

The following are not essential, but familiarity with any of these areas would be a strong advantage:

  • Payroll processes and income tax administration.
  • JobsPlus recruitment processes and requirements.
  • Maltese employment legislation and HR compliance requirements.

Role Highlights

  • A broad, hands-on HR role with exposure to recruitment, onboarding, employee relations, HR administration, compliance and international hiring.
  • The opportunity to work closely with the HR Manager in a small, collaborative two-person HR team.
  • Genuine involvement in improving HR policies, processes and the overall employee experience.
  • A supportive environment with scope for professional growth and development.
  • A central role in supporting the employee experience across the business.

Who you are

  • Friendly, approachable and professional.
  • Competent, sharp and quick to pick up new processes and systems.
  • Organised, reliable and detail-oriented.
  • Curious and keen to develop your HR knowledge and skills.
  • Calm under pressure and comfortable switching between routine administration and urgent requests.
  • Trustworthy and discreet when handling sensitive employee information.

Behaviours & Commitments

  • Own it. Take responsibility and follow through.
  • Communicate early. Share progress and risks.
  • Collaborate. Ask for input. Offer help. Give/seek feedback.
