Position Overview

A full-time Administration Clerk is sought to provide administrative and coordination support within a professional servicing department. The role involves managing communication with service partners, coordinating repairs and spare parts, maintaining accurate records, and supporting efficient day-to-day servicing operations.

Key Responsibilities

The selected candidate will manage daily email communication with authorised service providers, suppliers, and other service partners while coordinating devices and repairs being sent to and returned from external service centres.

The role includes monitoring spare parts usage, ensuring parts used during repairs are accurately recorded and reconciled, and verifying that external service partners follow established procedures and service-level requirements.

Responsibilities also involve assisting with reports and analysis covering repairs, parts consumption, turnaround times, and service-provider performance, together with other administrative duties required by the Servicing Department.

Requirements

Candidates should hold at least a National Diploma or equivalent qualification, while applicants with a Higher National Diploma and relevant experience will be given preference.

Excellent written and spoken communication skills in both English and Maltese are required, together with strong organisational abilities, attention to detail, and a proactive approach to work.

The ideal candidate should be capable of working independently and as part of a team while demonstrating a friendly, flexible, and results-oriented attitude.

Previous experience in administration, logistics, customer service, purchasing, servicing, or a technical environment will be considered an asset. Basic knowledge of IT products, electronics, or spare parts will also be considered an advantage.
