We are seeking a professional, organised and approachable part-time Human Resources Administrator to manage and support the company’s day-to-day HR operations. This is a fully on-site position, and the successful candidate will be expected to work from the company’s premises. The role involves overseeing the full employee lifecycle while ensuring that personnel records, employment procedures and workplace practices remain accurate and compliant.

Key Responsibilities

Manage recruitment and the employee lifecycle, including vacancy postings, interviews, contracts, onboarding, probation reviews and offboarding.
Maintain employee records and process engagements and terminations with Jobsplus.
Assist with work permits, Single Permit applications and renewals for third-country nationals.
Manage the full payroll process, including attendance, rosters, leave, sick leave, overtime, break-time records and payroll reporting.
Handle employee queries and support performance management, disciplinary procedures, grievances and employee relations.
Draft and update HR policies, procedures, handbooks, memos, job descriptions and SOPs.
Coordinate staff training, certifications and important HR deadlines, including contracts, licenses and permit renewals.
Ensure compliance with Maltese employment legislation and internal company policies.
Manage uniform stock and company assets, including keys, equipment, CCTV and alarm system access.
Liaise with management, employees, government departments and external providers, prepare weekly HR reports to the CEO and perform other related duties.

Requirements

A qualification in Human Resources, Management, Business Administration or a related field.
Previous experience in an HR or personnel administration role.
Good knowledge of Maltese employment law and practices.
Experience using HRIS and payroll software, ideally Talexio.
Experience with Single Permit and Employment License applications will be considered an asset.
Strong organisational skills and excellent attention to detail.
Ability to manage confidential and sensitive information professionally.
Excellent written and verbal communication skills in English; Maltese will be considered an asset.
Proficiency in Microsoft Office.
Ability to work independently, prioritise tasks and meet deadlines.
A practical, approachable and solution-focused attitude.
Flexibility to work additional or irregular hours when operationally required.
