An opportunity has arisen for interested candidates to join Carmelo Caruana Company Limited as an Agency Representative.

Reporting to the Agency Operations Manager, the successful candidate will be responsible for supporting the agency and ship-to-ship operations. Working part of a small and tight-knit team, you will be helping out to ensure an efficient delivery of service to our clients.

Responsibilities

In this role you will be...

Responsible for opening up the Ship File and obtaining necessary pre-arrival forms from vessels, the entry of the required data in the Transport Malta Portnet System in order to enter and clear all vessels owned, operated or chartered by the Owner (Principal), and exercise proper supervision throughout the vessel call, most especially upon arrival and departure times.
Responsible for keeping the Owner / Charterer informed of the vessel's arrival, departure, berthing time and work starting time as well as all occurrences and performances.
Ensure that the ship owner is well informed about vessel status whilst cat Malta, advising the best ETC and sailing time.
Pick up and deliver on arrival vessel-related documentation, couriers and other spares as may be required.
- Maintain Ships File in order, i.e., keep the following data in such order:
  - Vessel requirements form.
  - Vessel file checklist filed.
  - Pre-Arrival forms for Transport Malta (Portnet System).
  - General correspondence (faxes, emails, etc).
  - Master's Arrival Report and crew list.
  - Arrival/Departure Report form for Liner Vessels and any Statement of facts.
  - Copy of the D/A estimate+ owners' expenses (Form 7).
Ensure that the Finance department are forwarded a copy of the Proforma DA after the vessel's departure date.
Follow up on damages sustained on vessel / equipment / third parties.
Maintain best relationship with masters / officers of vessels (Servants to the owners) and the owners themselves.
Contribute as an Operations department team member to all other duties as and when requested by Management.
Contribute commercially in vessel services sales, focus on clients' retention, monitor market flow and trends and seek new opportunity / clients.
