Are you the person who keeps things organised, remembers the details and makes sure plans actually happen?

We’re hiring an Office Administrator & Logistics Coordinator at Willingness.

We’re looking for someone who combines strong organisation with a warm, professional approach to people. Someone who can welcome a client, manage a busy diary and follow a project through to completion.

Your responsibilities will include:

Managing enquiries, appointments, emails and daily office administration.
Helping clients feel welcome and supported from their first contact.
Coordinating project tasks, tracking deadlines and following up with colleagues and suppliers.
Supporting the organisation of workshops, events and new initiatives.
Keeping records accurate and confidential.
Identifying practical improvements to how we work.

You’ll suit this role if you take ownership of your work, communicate clearly and notice when something needs attention. You know how to prioritise, when to act independently and when to ask for guidance.

Experience in administration, operations or project coordination is a must. Strong written and spoken English and Maltese and confidence with digital tools are essential.

At Willingness, your work will support a multidisciplinary team helping individuals, couples, families and organisations. Good administration makes a real difference here: a timely reply, a carefully arranged appointment or a well organised event can shape someone’s experience of our services.

Location: On site at our Willingness Hub in Ħaż Żebbuġ, Malta.

Working pattern: An alternating two-week schedule:

Six days of morning shifts, Monday to Saturday.
Four days of afternoon shifts, Monday to Thursday, finishing at 8:30 pm, with Friday, Saturday and Sunday off.

To apply, email your CV to operations@willingness.com.mt with the subject “Office Administrator & Logistics Coordinator”.

Alongside your CV, tell us briefly about something you helped organise or improve. What did you take responsibility for, and what was the outcome? Please include your availability to start and confirm that the working pattern suits you.

Know someone who would be a good fit? Please share this with them.
