Purpose of Role

The Project Manager provides administrative and operational support across Seifert Systems' PMO, keeping the project portfolio organised, documented, and running smoothly so that senior PMO staff can focus on customer delivery and project governance. The role is responsible for day-to-day project documentation, scheduling, internal coordination, and reporting, ensuring that nothing falls through the gaps across a portfolio of complex, multi-party custom engineering projects.

This is a role suited to someone who is highly organised, detail-oriented, and looking to develop a career in project management. The person will work closely with the Head of PMO and the wider PMO team, gaining exposure to the full lifecycle of custom thermal management projects from initial specification to customer delivery.

Key Responsibilities

Maintain project files, documentation, and version-controlled records across the PMO's active project portfolio, ensuring that all project information is accurately logged, up to date, and accessible to the relevant team members and stakeholders at all times.
Prepare and distribute project status reports, meeting minutes, tracking actions and ensuring follow-up items are captured, assigned to the right owner, and chased to resolution.
Support the Head of PMO and senior PMO staff in scheduling project reviews, customer calls, and internal coordination meetings
Assist in maintaining the PMO's project management tools and dashboards, logging milestone updates, delivery dates, and status changes as directed, and flagging overdue items or anomalies that require attention.
Coordinate internally across Sales, Engineering, Production, and other departments to chase outstanding information, confirm technical inputs or lead times, and ensure that project records are complete and ready for review.

Education

Degree-level education preferred, ideally in Business Administration, Engineering, or a related discipline.
A strong professional track record will be considered in lieu of formal qualifications.

Experience

0–2 years in a project support, administrative, or coordination role.
Experience in a manufacturing, technical, or industrial B2B environment is a strong advantage.
Familiarity with project management concepts is beneficial but not required.

Technical skills

Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
Experience with project management or task-tracking tools (MS Project or similar) is desirable.
Ability to produce clear, well-formatted documentation consistently.

Languages

English is essential and is the primary working language of the PMO.
German, Italian, or French is a meaningful advantage given Seifert's European footprint and customer base.
