Job Description

The General Support Officer is the first point of contact for the Office of the State Advocate, providing a professional, courteous, and efficient reception and administrative service. The role is responsible for welcoming visitors, managing telephone and email enquiries, handling correspondence, supporting administrative operations, and ensuring the smooth day-to-day functioning of the reception area while maintaining the confidentiality and integrity expected within a legal and public sector environment.

Qualifications and experience required

Applicants must be in possession of:

1. 2 O’levels, of which 1 (one) must be in either Maltese or English;

2. A minimum of 1 (one) year experience in a receptionist related role;

3. Good command of Microsoft applications and ideally in possession of an ECDL certification;

4. Good command of verbal and written English and Maltese.

Duties of the General Support Officer

• Greet and assist visitors, clients, legal representatives, and government officials in a professional and courteous manner.

• Direct visitors to the appropriate offices or personnel.

• Answer, screen, and direct incoming telephone calls promptly and accurately.

• Respond to general enquiries or refer them to the appropriate unit.

• Receive, register, and distribute incoming correspondence, documents, and deliveries.

• Coordinate courier services when required.

• Schedule appointments and assist with maintaining meeting calendars.

• Provide general administrative support, including filing, photocopying, scanning, and document preparation.

• Maintain accurate records and update administrative databases as required.

• Ensure the reception area remains organised, well maintained and welcoming.

• Coordinate meeting room bookings and prepare meeting facilities when required.

• Assist with organising official meetings, events, and visits.

• Handle confidential information with discretion and in accordance with applicable legislation, including data protection requirements.

• Ensure documents and records are managed in accordance with office procedures and records management policies.

• Liaise professionally with members of the public, government entities, legal professionals, and other stakeholders.

• Support internal communication by relaying messages accurately and promptly.

• Perform other duties as may be requested by the State Advocate and/or his/her representative.
