Job Title: Sales Back Office

Reports to: Technical Sales Engineer

Role:

We are looking for a Sales Back Office team member to support our sales department with day-to-day administrative, organisational, and customer-related activities. The successful candidate will play an important role in ensuring that sales processes run smoothly and that customers receive timely and professional service..

Responsibilities:

Provide administrative support to the sales team.
Prepare and follow up on quotations, orders, invoices, and related documentation.
Process customer orders and ensure information is accurately recorded.
Communicate with customers regarding orders, deliveries, quotations, and general enquiries.
Coordinate with the sales team, warehouse, logistics, and other departments.
Follow up on pending quotations and customer requests.
Maintain accurate customer and sales records.
Assist with preparing sales reports and monitoring outstanding orders.
Handle emails and telephone enquiries in a professional manner.
Ensure that customer information and sales documentation are kept up to date.
Assist the sales team with any other administrative and coordination tasks

Requirements

Previous experience in a sales administration, back-office, customer service, or similar role is an advantage.
Strong organisational and time-management skills.
Excellent attention to detail and accuracy.
Good communication and interpersonal skills.
Good knowledge of Microsoft Office, particularly Excel and Outlook.
Ability to work independently as well as part of a team.
Ability to manage multiple tasks and meet deadlines.
Professional and customer-focused attitude.
Good command of English; knowledge of Maltese or other languages is considered an advantage.
